For those of you who would like to get together this year in St Louis, please take the poll. You may choose as many options as will work for you. If there are certain days that would not be an option for you please post them in responses so we can work around them. :) This thread is for me to use when choosing a date, so if you can't attend in any of the given months please don't post. If you'd like to suggest another month for the year 2011 please send me a PM. Thanks!

We will be in St. Lewis the last week in May ONLY. And even then, we may not be able to attend. I think we have 1 day in St. Lewis itself, but if I get my best Bambi eyes on we may attend. :)

Jay and I just did an interview with Robert Treskillard where he mentioned a writers retreat in October in Texas. This got me thinking about the benefits of something like that where you have time alone to write in a cool place and then there are times to eat and fellowship, maybe even sit under the instruction of established authors in our field. I would be interested in the HW Convention if it had that kind of format. If we can get published authors to come to sell some books and join discussion panels that would be cool too.

Since this would be the first HW convention, how about a format that is mostly set up for people to interact, with perhaps some fun writing challenges and discussions to give structure? This would allow friends from HW, most of whom have never met, the chance to get to know each other better.

Yes, this first one would be best to do along those lines, methinks. Later on we can include stuff more like what Timotheous was thinking.

I'm a very unstructured sort of girl. :D

Anything I'm organizing will be mostly for interaction.
Actually, I'm not planning any structured activities.
All I'm going to do is help find a date and place to meet.
Lady E and I have been wanting to meet and get to know some Holy Worlders for a long time,
and I personally would resent any sort of classes or schedule
that would keep me from being able to freely fellowship with whomever gets to go.

I don't have anything against classes.
But you won't find ME organizing them. :)

Oh, Lady E. Your plans to keep us from meeting will fall through quickly if I can come...

I have plans for June 2-4, and July 26-31. I might be going somewhere with my sister June 30-July 3, but that's not definite, and I could change that.

I'm really, really, excited and will do my bestest to come! I think it's awesome that this is actually going to happen, hopefully!

Incidentally, the sooner there are actual dates the less conflict I'll have. You know how scheduling goes; once your calender starts filling up it gets harder and harder to get things to work. I have a play in June, but the dates for that aren't set yet. So if I can schedule the play around the convention, I won't have to schedule the convention around the play. See?

Anyway, now I'm just rambling for sheer joy...

My thoughts were to check with book stores or libraries first off. Most of the book stores probably have coffee shops and some may have meeting rooms, wireless etc. I've also considered parks, malls, and churches. My main considerations are:

1. Someplace public - #1 rule for meeting anyone from the internet is keep it public. Not that I'm scared of you guys, but it should help reassure the parents out there, since we're dealing with an underage crowd for the most part.

2. Someplace with space - Obviously we need to be able to fit however many people show up into one area so they can visit.

If it works out it would be nice to have wireless access and a place to set up laptops in case people who can't physically attend would like to skype.

Those are my goals!

I'm going to split this thread into the parts I'll need to actually plan the meeting and the non-helpful parts. I'm moving the "i'm so bummed i can't go" posts into the other convention thread - where they can keep company with the others! ;)

I would personally hate having it in a library. I want to talk to these people!! I think the library employees would get mad at all our whispering. Unless we were able to find a room or something, within the library for that purpose...

I was pretty much thinking an afternoon & evening.
Or we could plan for a late morning meeting to give us more time.
Probably not before 10-ish though... It takes us 2+ hrs to get there! :shock:
I don't mind if some people want to stay over and continue visiting the next day, but we most likely will not stay overnight.

That's kinda what I was thinking. My dad told me it will take probably a little under 8 hours to drive out...

Another thing - If the convention were to overlap on a Sunday/force people to travel on Sunday, that may be a problem for some. It's not for me and my family, but I can think of some people for whom that might be a problem.

I definitely can't make it during May or August (though the last weekend in May - 28th - might work...). I'm guessing weekends, Friday, Saturday, Sunday? would work best for people...

so... weekends? I currently have ten weekends open for possibilities (last weekend in May and all the weekends in June and July) assuming I can get someone to actually drive me :roll:


And I'm cool with volunteering Airi to do research ;) :D
